Allianz is looking for Executive Assistant to join our Finance division based in Sydney CBD on a Full Time Permanent basis.

The role of the Executive Assistant to the Chief Financial Officer is responsible for the smooth running of the CFO calendar to enable the CFO to focus on core business activities. To provide secretarial and administrative support to the CFO, co-ordination and follow through on delegated activities and co-ordination of assigned tasks within Team Finance.

Reporting to the Chief Financial Officer your key areas of ‎responsibility will be to:

  • Review of diary and requests for meetings via email.
  • Monitoring of emails coming through CFO's mailbox as well as EA's.
  • Timely and accurate dissemination and proper follow up system.
  • Keep CFO informed of upcoming deliverables, deadlines, appointments that may require pre-work as well as liaising with CFO's direct reports on deliverables to the CFO.
  • Co-ordinate the monthly Finance Board report as well as on a quarterly basis, co-ordinate papers for the Committee & Board that the CFO is responsible or presenting whilst liaising with Company Secretarial department.
  • Development of key relationship with customers and their EAs within Allianz Australia and including Allianz SE, Munich.
  • Use appropriate interpersonal styles, communication methods to work effectively with external parties to meet mutual goals and objectives.
  • Management of the staff amenities and utilities for the Division.
  • Provide administration and general support for CFO's direct reports when necessary.
  • Setting up for all new appointees within the Finance Division.
  • Organising all domestic and international travel for CFO within the Finance Division.
  • Reconciling expenses incurred by CFO on corporate Amex.

You will also need to possess:‎

  • Minimum 12 years secretarial and administration experience at a senior level
  • Diploma in Secretarial studies
  • Being proactive
  • Tact, diplomacy and maintaining confidentiality
  • Demonstrating a positive behaviour, a “can do” attitude and being approachable
  • Strong written and verbal communication skills with attention to detail.
  • Strong team management skills and a proven ability to work collaboratively to tight deadlines.
