The primary purpose of this role is to provide administrative and legal support to the three Executive Legal Counsel and their teams in order to enable them to focus on the provision of high-level legal advice.

You'll be responsible for:

  • Provide organisational support to the Executive Legal Counsel and their teams including day to day office operations and related activities to ensure efficient workflow and optimisation of time and quality of services.
  • Process mail and email correspondence and monitor legal in-boxes, phone enquiries, prioritising and following up to ensure that requests are actioned, escalated or completed accordingly
  • Undertake diary management of the three Executive Legal Counsel in order to co-ordinate business arrangements
  • Manage and co-ordinate legal team and legal sub-committee meetings assisting with agendas and action completion
  • Organise team events, business engagements, functions and travel arrangements according to AAL Preferred Supplier Agreements
  • Collate and reconcile evidence to support expense claims in accordance with AAL processes
  • Produce correspondence, communications, presentations, confidential documents, spreadsheets and reports on behalf of the executive legal counsel
  • Administer and maintain data bases, document control and filing systems in accordance with AAL policies and procedures

Important to your success:

  • Experience providing administrative and organisational support at an executive level in a corporate environment
  • Excellent verbal and written communication skills, capable of communicating with clarity, impact and influence
  • Demonstrated evidence of proactive approach to problem solving
  • Demonstrated evidence of technical proficiency with systems, software, data bases, reporting and communication tools
  • High attention to detail by completing tasks with thoroughness and accuracy with the ability to identify errors and inconsistencies within information
  • Ability to plan and prioritise effectively, organise tasks and manage competing demands
  • Ability to manage internal client expectations to ensure matters are appropriately triaged and dealt with in accordance with agreed timeline and scope.
