Personal Assistant – Provide PA support to our Global Head of Engineering in our Data Centre & Cloud Services organisation

We are seeking an experienced and motivated Personal Assistant to provide day to day admin and business support to our Global Head of Engineering who sits within our Data Centre & Cloud Services organisation. This team is busy delivering on a number of significant projects across the business including consolidating a number of our data centres into 2 strategic locations. Our global head is seeking a smart & accountable PA, who is comfortable using their own initiative, to free him up from the day to day administration activities.  

Key responsibilities include:

  • Providing day to day PA & Administration support to the Head of Engineering 
  • Diary/ calendar management inc regularly scheduling global meetings.    
  • Coordination of various local meetings inc organise meeting rooms & technology set up.
  • Manage email correspondence
  • Coordinate the completion of general business items such as business reports, board reports, meeting agendas, meeting minutes, presentations and other papers.
  • Expense management, event management and reporting
  • Coordinating travel requirements for Head Engineering & Senior Managers
  • Collate and prepare reports for monthly board reporting
  • Supporting Head Engineering & Senior Managers with preparing presentations
  • Provide outstanding customer service to internal and external stakeholders

To be considered for this role you will possess:

  • 4 years + Personal Administration / secretarial experience supporting executives in the above activities in a busy, fast moving, dynamic corporate environment
  • Strong knowledge of all MS Office applications, Power Point and basic excel  
  • Impeccable written and verbal communication skills
  • Good at stakeholder engagement with ability to quickly building relationships across divisions
  • Professional, organised, able to work under pressure & prioritise last minute requests   
  • Excellent attention to detail
  • Customer focused mindset
  • Strongly numerate will be a bonus given the nature of the business you will be supporting
  • Motivated and energetic with a can do attitude

You will have solid previous experience in a Personal Assistant role and will have highly developed verbal, written and interpersonal communication skills, combined with strong relationship management skills and a strong customer service ethic. Your keen eye for detail, ability to anticipate the needs of the executives you will be supporting and the ability to work efficiently under pressure are essential.
